Most small nonprofits run on effort and goodwill. Staff juggle donor communications, data entry, follow-ups, and reporting alongside their actual jobs. The work gets done, but barely, and always at the cost of something more important.

The problem isn't capacity. It's that nobody has ever sat down and designed how the work should actually run.

That's what we do.

Step 1: The Discovery Session

(Free, 2 Hours)

Before anything gets built, we need to understand how your organization actually operates today. Not how it's supposed to work. How it actually works.

We walk through your current donor communications, your data, your tools, and where your team's time is going. We look for the work that is repetitive, manual, and predictable enough that a system or AI agent could handle it instead of a person.

This session is free. There is no pitch at the end and no obligation to continue. If we're not the right fit for each other, we'll tell you that directly and point you in a better direction.

If it is a fit, we move to the build.

Step 2: The Build

(60 to 90 days, fixed price)

This is where the real work happens.

We design and build your donor system from scratch, based entirely on what we learned in discovery. There are no templates. Every workflow, every AI agent, every automation is built specifically for how your organization operates and what your donors need.

A typical build includes some combination of the following, depending on your situation:

Donor segmentation so your communications are relevant to who receives them. Automated workflows that handle repetitive outreach, follow-ups, and acknowledgements without staff involvement. AI agents that make decisions within those workflows, including knowing when to flag something for a human rather than acting automatically. A campaign calendar so nothing falls through the cracks. A reporting dashboard so you can see what is working without digging through your CRM manually.

The distinction between a workflow and an AI agent matters here. A traditional workflow runs the same steps every time. An AI agent can assess a situation and make a judgment call. It can recognize when a donor response is unusual and route it to a staff member instead of sending an automated reply. It can apply guardrails your organization sets, like limiting outreach volumes or pausing communication during a campaign. The goal is not to remove humans from donor relationships. It is to remove humans from the parts of the process that were never a good use of human judgment in the first place.

 

By the end of the build, your team has a working system. Not a strategy document. Not a set of recommendations. A running system.

Step 3: Ongoing

(Monthly retainer)

After the build, we stay on.

Each month, we review how the system is performing, surface anything that needs attention, and make improvements based on what the data is showing. You receive a concise monthly update covering what ran, what worked, what needs a human decision, and what we are adjusting.

 

Your team does not need to manage the system. That is the point. You get back the time that was going into manual processes, and we make sure the system keeps running and improving over time.

 

The monthly retainer starts at $2,500 CAD. Engagements require a 6-month minimum commitment. We do not offer one-off projects. Predictable, ongoing relationships are how this work is designed to be done.

What this is not

We are not a fractional fundraiser. We will not write your grant applications, manage your major gift relationships, or represent your organization to donors directly. That work requires a human who knows your community. Our job is to build the system that makes the human work more possible, not to replace it.

 

We are also not a software vendor. We do not have a product to sell you. Every tool and platform we recommend is chosen because it is right for your situation, not because we have a partnership agreement with the company that makes it.

The tools we work with

We work inside whatever CRM your organization already uses. Bloomerang, Raiser's Edge, DonorPerfect, Salesforce, and others. In most cases, if a system has an API, we can work with it.

We also work with automation platforms, AI tools, and communication platforms depending on what your situation requires. We will always explain what we are recommending and why, and you will always own everything we build.
