STOP TRADING TIME FOR DONORS

We are your Fundraising Automation Partner. We build and manage the 95%—the tech, the AI agents, and the workflows—so you can focus on the 5% that matters: genuine human connection.

Built by a Certified Fundraising Executive with 10+ years nonprofit leadership. Real automation built by real fundraisers.

The Time-for-Money Trap

You know the pattern. A donor gives. You send a generic email receipt. Maybe a thank you letter three weeks later. By then, they've forgotten the warm feeling that made them give in the first place.

Meanwhile, you're drowning in:

  • Spreadsheets that don't talk to your CRM

  • Thank you videos you meant to send but never did

  • Major donors who get the same treatment as $25 givers

  • Board members asking why retention dropped again this year

The reality: You need both strategy and execution. A consultant gives you a plan then disappears. A part-time hire gives you 20 hours a week that still aren't enough.

You need someone who builds the system AND keeps it running.

Fundraising Automation Partner

(Not a Consultant. Not Another Hire.)

What this means:

I don't hand you a strategic plan and wish you luck. I build your entire donor stewardship engine using automation and AI agents. Then I manage it every single month.

You provide: The human authenticity your donors crave. A 60-second video. Approval on a text message. The personal touch that makes donors feel seen.

I provide: Everything else. The tech stack. The workflows. The AI agents that know when to send what to whom. The system that makes sure no donor falls through the cracks.

The result: Your team gets time back. Your donors get better stewardship. Your retention numbers actually improve.

The 95/5 Model

The 95% (What I Build and Manage):

Your automation engine runs 24/7 in the background. It connects your CRM, email platform, and donor data into workflows that actually work.

Examples of what the system handles:

  • New donor welcome sequences that fire within 48 hours while they still feel good about giving

  • Automated reminders when a donor needs a personal video from your team

  • AI agents that analyze donor behavior and flag who's ready for a major gift conversation

  • Email sequences that follow the 3:1 rule (three stewardship touches for every ask)

  • Total value tracking for both cash and in-kind donations

The 5% (What Your Team Provides):

The authentic human moments that technology can't fake:

  • Recording a 60-second thank you video when the system prompts you

  • Approving the personalized message before it sends

  • Having the face-to-face coffee meeting with the flagged major donor prospect

The system makes these moments possible by removing everything else from your plate.

We Build It. Then We Stay and Run It.

Most automation consultants build your system, train your team, then disappear. Six months later, the workflows are broken and nobody knows how to fix them.

That's not how this works.

We build your donor stewardship engine. Then we manage it every single month. You get both the strategy and the execution, without hiring another full-time person.

Donor Stewardship Engine (Retainer Model)

$1,700/month for first 6 months, then $1,100/month ongoing
6-month minimum commitment

This is not a software subscription. This is a partnership.

Setup Phase (Months 1-2):

We start by auditing your current tech stack. What's actually working? What's just draining money? What's causing your team to waste hours every week?

Then we build your first three automated workflows:

  • New donor welcome sequence that fires within 48 hours (while they still feel good about giving)

  • Thank you sequence that scales the personal touch you're already great at

  • Lapsed donor re-engagement that brings back donors who ghosted you

We write all the email copy. In your voice, not generic nonprofit speak. We integrate everything with your CRM and email platform. We train your team on how to work with the system (spoiler: it's designed to be simple).

Optimization Phase (Months 3-6):

This is where we prove the system works.

We're actively monitoring performance. Which emails are getting opened? Which sequences are driving second gifts? Where are donors still falling through cracks?

Every month, we're tweaking and improving based on real data. Subject lines get tested. Timing gets adjusted. Workflows get refined.

You start seeing results in your retention numbers. Your team starts seeing time back in their schedules.

Ongoing Management (Month 7+):

After six months, your pricing drops to $1,100/month for continued management.

You still get:

  • Unlimited new workflows built. Maybe it's a monthly donor upgrade sequence. Maybe it's a major donor cultivation pathway. Whatever your organization needs next.

  • Monthly optimization based on performance data. Open rates dropping on a sequence? We rewrite it. Donors falling through cracks? We patch the gap.

  • Continuous system maintenance. Tech platforms update constantly. Integrations break. We handle all of it so your team never has to.

  • Monthly reporting that shows you exactly what's working. Which workflows are driving retention? Which emails are getting responses? You get the data without having to dig for it.

What your team provides:

The human authenticity. When the system prompts you to record a 60-second thank you video, you record it. When a donor is flagged as ready for a personal conversation, you have that conversation.

The system makes these moments possible by removing everything else.

Software costs:

You pay directly for tools (email platform, automation hosting, video tools).

Budget approximately $150-200/month depending on your donor volume. No markup. No middleman fees.

Best for: Organizations tired of donor retention problems and ready for a long-term solution with ongoing support.

Implementation Only (Project Model)

One-time investment: $12,500

For organizations that want the build but can manage it themselves.

You get everything in the setup phase, plus two extra workflows (five total). We build it, document it thoroughly, train your team, then hand you the keys.

You have 90 days of post-launch support for troubleshooting and questions. After that, you're on your own.

What's included:
  • Tech stack audit and integration

  • Five automated donor workflows (your choice based on priorities)

  • All email copywriting for sequences

  • Full system documentation

  • Team training and 90-day support window

What's NOT included:
  • Monthly optimization after 90 days

  • Future workflow development

  • Ongoing tech maintenance

Best for: Organizations with technical staff who can maintain automation systems. If you have someone on your team who's already comfortable with workflow builders and can troubleshoot integrations, this model works.

If you don't have that person? The retainer model will save you money and headaches in the long run.

Because I've Been the Stretched-Thin Fundraiser

I've spent a decade in nonprofit leadership. Healthcare foundations. Corporate giving platforms. Community organizations. I know what it's like when the board wants better retention numbers but you're already working 50-hour weeks.

The "build and bail" problem:

You've probably seen this before. An agency charges $22,000 to build your automation system. They spend 18-24 weeks setting it up. They train your team. Then they're gone.

Six months later, a platform updates and breaks an integration. Your workflows stop firing. Nobody on your team knows how to fix it. You're back to manual processes.

Our approach:

For $10,200 over six months (the retainer model), you get the initial build PLUS ongoing management. That's less than half what agencies charge for setup alone.

After six months, your monthly cost drops to $1,100 and you can continue as long as it makes sense. No long-term lock-in after the initial commitment.

Why the price drop? The heavy lift is done. Why pay for more than you need.

The truth about donor retention:

  • Keeping an existing donor costs 10x less than finding a new one

  • The first 48 hours after a gift are critical (after that, the warm glow fades)

  • Mid-level donors ($500-$5,000) are the most neglected segment

  • Your donors don't want perfection, they want to feel seen

What you're really paying for:

You're not paying for software. You're not paying for templates. You're paying for someone who knows fundraising to actively manage your donor stewardship infrastructure every single month.

The tech stack we use is deliberately chosen to avoid vendor lock-in. If you decide to part ways, you own everything we built. No proprietary platforms holding your data hostage.

Here's Exactly What We Handle (And What We Don't)

What IS Included:

Standard donor communication campaigns:

  • Email campaign strategy, copywriting, and automation setup

  • Direct mail writing support and templates

  • Design guidance for donor communications

  • Website updates related to donor experience (donation page optimization, impact story placement, campaign landing pages)

  • Multi-channel campaign coordination (ensuring your email, mail, and web messaging aligns)

Donor stewardship workflows:

  • Welcome sequences for new donors

  • Thank you automation (email, video, text)

  • Lapsed donor re-engagement

  • Monthly donor cultivation

  • Upgrade and second gift sequences

  • Impact reporting automation

Technical execution:

  • CRM and email platform integration

  • Workflow building and maintenance

  • AI agent development for donor analysis

  • System troubleshooting and updates

  • Data cleanup and migration support

What's NOT Included (And Why):

We don't build your CRM from scratch.
You need a modern, API-friendly platform before we start. If you're using Excel or a legacy system that can't integrate, we'll tell you what to switch to. We can handle the migration (as an add-on), but we don't build custom database systems.

We don't manage your overall fundraising strategy.
We execute donor stewardship and communication campaigns. But if you need help deciding whether to run a capital campaign, how to structure your major gifts program, or whether to hire a new development director, that's outside our scope.

We don't run capital campaigns.
Capital campaigns require a different level of strategic planning, feasibility studies, and high-touch donor management. We can automate parts of the communication workflow, but we're not campaign strategists.

We don't provide major gift officer strategy.
We can build systems that identify major gift prospects and automate research briefs. But we don't coach your team on solicitation strategies, donor cultivation timelines, or negotiation tactics for five-figure+ gifts.

We don't work with organizations that won't provide the 5%.
If your team won't record videos, approve messages within reasonable timeframes, or engage with flagged donor opportunities, this won't work. The system scales human authenticity. It doesn't fake it.

Think of it this way. We handle the execution engine for donor communications and stewardship. You (or another consultant) handle the strategic direction for fundraising priorities, campaign goals, and major gift relationships.
